A GS1 QR code for asset tracking is built around a Global Individual Asset Identifier (GIAI) — the GS1 identifier reserved for tracking one specific physical item rather than a product type. A GTIN says "this is a can of the same soda as every other can with this code." A GIAI says "this is that specific forklift," and it stays attached to that one asset for its entire operating life, regardless of who owns, leases, or relocates it.
Encoded as a GS1 Digital Link, the GIAI becomes a working URL printed on a durable tag. A phone camera opens it like any link and shows the asset's live record; a GS1-aware scanner extracts the GIAI as a structured identifier for integration with existing asset management systems.
Why item-level identity matters for equipment
Spreadsheets and static asset tags break down for one reason: they capture a snapshot, not a history. A serial number etched on a laptop tells you what the laptop is, but nothing about where it has been, who has it now, or when it was last serviced. Best practices for asset tags on equipment
Asset tags live in tougher conditions than retail packaging — grease, weather, abrasion — so the physical label matters as much as the data behind it:
- Use a durable substrate. Polyester or metal-backed labels rated for outdoor and industrial use survive far longer than paper stickers.
- Place the tag where it will actually get scanned. A tag on the underside of a machine never gets scanned. Put it somewhere a technician can reach without disassembly.
- Keep the code dense but printable. A GIAI-based Digital Link is longer than a plain link — size the label so the modules stay scannable at arm's length.
- Standardize location naming. Consistent site, building, and room names make location history usable for reporting instead of a mess of free text.
- Reprint, don't reissue, on damage. A damaged tag gets a fresh label pointing at the same GIAI and history — never a new identifier for the same asset.
- Test in real field conditions. Scan the printed tag with the phones your field team actually carries, in the lighting they actually work in.
Do you need a GS1 membership to track assets?
For GIAIs that need to be globally unique and interoperable with other companies' GS1 systems — leased equipment moving between organizations, for example — a GS1 company prefix is the correct path.
